PRIMARY PURPOSE OF THE POSITION

To manage and improve production and site efficiencies and maintain personnel discipline.

KEY FUNCTIONS AND RESPONSIBILITIES

Operational:

  • Performing operational planning and the timely communication and execution thereof for the site.
  • Ensure the smooth running of operations across the site.
  • Stock control for the site in accordance with Company policies and procedures.
  • Optimise production processes site wide.
  • Identify efficiencies in the production process and implement them.
  • Coordinating with other plants to ensure optimal capacity.
  • Determine the most effective method to manufacture and pack products based on product demand (how and when).
  • Ensure all equipment is functional and managed in accordance with Company policies and procedures.
  • Ensure good housekeeping across the whole site.
  • Effectively participate in strategic planning to ensure optimum production.
  • Ensure health and safety standards are adhered to in accordance with Company policies and procedures and legislation for the site.
  • Ensure optimal production/budget is maintained.
  • Ensure that raw materials are ordered and managed effectively and in line with production needs.

Financial:

  • Accurate drafting and timely submission of the annual budget.
  • Controlling the budget with minimal variance between budgeted amounts and actual amounts.
  • Effectively manage the procurement process in line with business requirements and company policies.
  • Ensure budget meets operational requirements.
  • Planning and procurement of required equipment for the department.
  • Adhering to Company policies and procedures.
  • Accurate production and site-wide reporting.
  • Ensure staffing shifts and overtime fall within budget.
  • Analyses time sheets.

Staff Management (across the whole site):

  • Ensure training and development as per required standards.
  • New employee enrolment in accordance with Company standards. Appointments in accordance with relevant laws and Company procedures.
  • Ensure a high level of performance.
  • Initiating disciplinary enquiries, handling grievances and the output of all staff. Provides guidance as required.
  • Ensure compliance with Company standards and procedures.
  • Interviews staff for appointments and ensure that they also receive appointment letters.
  • Supervise staff to ensure good quality of work.
  • Ensure good human resources practices.
  • Communicate performance requirements timeously with staff.
  • Productivity and efficiency of staff performance are maintained.
  • Ensure staffing shifts and overtime fall within budget.
  • Analyses time sheets.

Administration:

  • Accurate production and site-wide reporting.
  • Compliance with Company standards and requirements regarding administration practices.
  • Timely submission of documentation as required.
  • Timekeeping of staff, overtime, driver’s bonuses, leave and staff records.
  • Issuing purchase orders.
  • Control over petty cash and ensure that money received from clients is accurate and properly allocated.
  • Proper control over and report on pallets.
  • Adhere to all monthly reporting requirements.
  • Ensure quality standards are applied and maintained iro preservation and safe keeping of stock.
  • Distribute stock to the local customers timely.
  • Timely handling of queries and complaints.
  • Oversee the correct and timely management of information in the financial and related reporting systems.

Quality and Hygiene Control (Site-wide):

  • Ensure good systems are in place.
  • Provision of good quality.
  • Provision of acceptable hygiene.
  • Compliance with applicable quality standards.
  • Compliance with Company standards.
  • Compliance with statutory requirements.

Fleet Control:

  • Ensure that the fleet is operational and that maintenance and repairs are carried out.
  • Report all accidents and provide correct details.
  • Ensure that forklifts are operational and serviced on schedule, and all legal requirements are adhered to.

Stock Supervision:

  • Timely communicate all out-of-stock items with reasons and corrective action.
  • Ensure that the goods returned and claims by customers are correct.
  • Ensure stock-taking activities are accurate.
  • Communicate all variances to management and implement corrective actions.

Customer & Supplier Relations:

  • Ensure good relationships with customers and suppliers.
  • Meet with customers and suppliers to build relationships.
  • Effectively and timeously deal with customer queries and complaints.

General Duties:

  • Fumigation/Pest Control.
  • Managing local harvest intake processes.
  • Entire site management, site condition, maintenance and housekeeping.
  • Adhere to Ad hoc tasks as per instructed by your manager.

MINIMUM REQUIREMENTS FOR THIS POSITION

  • Bachelor’s degree in Food Science / Food Technology, Supply Chain Management, Engineering or Business Administration.
  • Management Development Programme qualification would be advantages.
  • 5 years’ relevant experience in a manufacturing or production environment.
  • 2 years’ experience in a managerial or supervisory position.

OTHER

  • Technical background will be an added advantage.
  • Computer literate with a good mastering of Microsoft Word, Excel and Outlook.
  • Namibian Citizenship.
