PRIMARY PURPOSE OF THE POSITION
To ensure that the reception/switchboard is manned at all times, answered promptly and receive visitors.
KEY FUNCTIONS AND RESPONSIBILITIES
- Ensure that the switchboard is answered as per laid down procedures.
- Receives calls/direct calls to appropriate staff members.
- Ensure timeous communication and distribution of parcels, messages, memos, postage etc.
- Keep and maintain contact details and extension numbers of all staff.
- Receive visitors appropriately.
- Control access and housekeeping in the reception area.
- Control and co-ordination of the messenger’s daily schedule.
- Timeously assist with typing and all other admin related requests.
- Daily recordkeeping and control of company pool vehicle logistics.
- Coordinating of the tea ladies.
- Assisting with purchase orders and other administrative tasks.
- Assisting Personal Assistants when required.
- Assisting with any ad hoc tasks as and when required.
MINIMUM REQUIREMENTS FOR THIS POSITION
- Grade 12 (NQF4) with three (3) years switchboard/reception experience.
OR - A relevant certificate (NQF5) with two (2) years’ switchboard/reception experience.
- Proficient in English, being bilingual will be an added advantage.
- Computer literate with good mastering of Microsoft Suite.
- Namibian citizen.
